Getting Started
Welcome to the PitchCamp documentation! This guide will help you get started with PitchCamp and provide you with the information you need to set up your campground and start managing your reservations.
This guide will be a series of topics that are common questions or tasks that you may have when setting up your campground. If you have any questions or need further assistance, please don't hesitate to reach out to our support team.
Creating a New Reservation¶
To create your first reservation, follow these steps from this guide:
Adding a New Blocked Reservation¶
Blocked reservations are used to block off a lot for a specific period of time. Blocked reservations are not associated with a client and are not subject to any fees on your subscription.
Refunding a Reservation Payment¶
Accessing the Booking Page URL¶
Several types of booking page urls are available for your campground. The booking page url can be used to generate a booking page url to link your website or social media to your booking page.
The booking page url can be used to autoload the next available date so there's already something loaded when the client clicks on the link. The booking page url can also be used to load a specific date range so the client can see what is available for a specific date range. The booking page url can also be used to load a specific lot so the client can see what is available for a specific lot.
Online Checkout Waivers¶
The online checkout waiver is a feature that allows you to require clients to agree to a waiver before completing their reservation. This is useful for campgrounds that have specific rules or regulations that clients need to agree to before booking a lot.
Online Booking Page Messages¶
The online booking messages area allows you to add messages that will be displayed to your clients when they are booking online. These messages can be used to provide additional information to your clients when they are booking online.
Cancellation Policy¶
An area that allows you to enter your cancellation policy. Your online clients will be able to read your policies before they check out. The cancellation policy is only displayed to your user when they click on the Refund Policy link from the checkout popup.
Adding a Bilingual Message to a Reservation Email Confiramtion¶
- Go to Config → Email
- For both:
- "New Online Reservation Email"
- "New Offline Reservation Email"
- Select the email from the list.

Add your French message below the English message to make it bilingual.
Modifying the Receipt Disclaimer¶
- Go to Config → Receipt Disclaimer
- Double-click on the receipt disclaimer to edit.
- Edit the message as needed.
- Do this to each of your receipt disclaimers.

Click Save to save your changes.
Assigning your Receipt Disclaimers to your Receipts¶
Receipt disclaimers are linked to the clients receipt through the base rates. To assign a receipt disclaimer to a receipt follow these steps:
- Go to Admin -> Rates
- Double click on the rate you want to assign the disclaimer to.
- Then select the disclaimer from the drop down list.
- Click Save to save your changes.

Do this to each of your rates.
Adding a Discount to a Reservation¶
- Edit your reservation.
- Select the discount type as listed in the image below..
- Enter the value of the discount ex: for 25% enter 25.00 and make sure % is selected as the discount type.
- TAB out of the field and the discount will be applied.

You'll see the total discount value and the totals being updated accordingly.
Overriding the Fees on a Reservation¶
- Edit your reservation.
- Turn the Override switch ON.
- The Fee Override will apply once we TAB out of the field.
Example:
- Turn the Override switch ON.
- Update your fee to 0.00.
- Then TAB out of the field using the TAB key, you'll see the totals update.
Online Booking Deposit Percentage¶
You can control the deposit percentage that is required for online bookings. This is a global setting that will apply to all online bookings.
- Go to Admin -> Campground Settings -> Online Campground Settings
- Enter the deposit percentage in the field provided, you can also use the slider to adjust the percentage.

Click Save to save your changes.

On the booking page, the total checkout value will now reflect the applied booking percentage.
Online Booking Images on Lots.¶
You can have individual lot pictures and descriptions for each lot or you can have a default set of pictures and descriptions that are used for all lots using the Rates.
Verifying the Number of Booking Fees Charged By PitchCamp¶
You can find the total amount of fees charged by PitchCamp in the monthly invoice under: - Admin → Campground Settings → Billing. - Here you'll see the current Metered Charges, which provide a live representation of the ongoing billing cycle.
Limit Online Sites Based on Dates:¶
Online lot availability provides control over the visibility of your lots on the online booking page. By default, lots are available based on your seasonal dates. However, this feature allows you to extend availability beyond these dates or even year-round.
Adding POS Inventory / Reservation Addons Items¶
The product panel is where you controls the items and services that will be sold on your POS system and when doing a reservation add-on.
Lot Online Checkout Options¶
The online checkout options feature allows you to customize the checkout process for your online bookings. You can now choose to enable or disable the following options for your clients:
Additional Occupants¶
The extra people panel is used to manage the cost associated to your extra adults, children's and dogs when a reservation is performed.
How to Disable and Enable Client Acquisition¶
The Client Aquisition section of the dashboard provides insights into how clients are finding your campground. This information can help you identify which marketing channels are most effective and make informed decisions about where to allocate your marketing budget.
Reservation Rates¶
Campground Rates also known as Base Rates controls the cost associated with your lots. Camping rates are broken down in four tiers (Nightly, Weekly, Monthly and Seasonal).
