Seasonal Revenue Report

The seasonal revenue report allows you to generate a financial report of the total revenue for services offered between the seasonal fiscal year dates.

This report calculates revenue based on the seasonal fiscal year, meaning it displays revenue/payments for reservations/services offered within that specific timeframe of the report.

This report aligns with accurate revenue recognition, helping the accountant see when the revenue is applicable based on when the reservation/service was offered to the client, which often aids in seasonal financial planning and reporting.

This report is very similar to the Payment Summary report except that the payments are grouped up by the payment date for services/reservations that have been offered between the seasonal fiscal year.

What is a Fiscal Year

A Fiscal Year refers to the period during which reservations/services are offered, not necessarily when payments are received. The report organizes revenue according to when the reservation/service actually occurs within this defined timeframe.

Example: if a fiscal year is set from October 1, 2023 to September 30, 2024 then:

  • October 1, 2023, is considered the start of the fiscal year, even though your campground doesn’t open until May 15. This date is chosen to ensure that any reservations or revenue generated before the season begins are captured within the same fiscal year.
  • September 30, 2024, marks the end of the fiscal year, aligning with the final day before the campground closes for the season.
  • Revenue for reservations/services delivered within this period (October 1 of one year to September 30 of the next) is attributed to the 2024 fiscal year.
  • Payments made outside this timeframe are still attributed to the fiscal year that aligns with the reservation start date/service period.

Reservation Timing vs. Service Period

  • The Seasonal Revenue Report recognizes revenue based on the reservation/service period rather than the date the payment was made.
  • For example, if a reservation was booked and paid for in August 2024 but the service (e.g., reservation start date) is scheduled for May 2025, the revenue is attributed to the 2025 fiscal year because it reflects when the reservation/service will actually be provided.

Example: Early Payment for Future Reservations

  • A client books a campsite on September 1, 2024, paying the full amount immediately.
  • The stay is scheduled from May 15, 2025, to May 18, 2025.
  • Even though payment was received on September 1, 2024, the revenue will be reported in 2025 fiscal year since that’s when the reservation/service takes place.

This ensures that the revenue aligns with the period in which the service was delivered, in accordance with seasonal fiscal year reporting.

Accessing the Seasonal Revenue Report:

To access the report expand the Report menu and then select the Seasonal Revenue report from the menu.

Displaying Report Details and Sum:

Under the Report Settings section you can select which part of the report you would like to display.

Display Details: displays the body of the report where you will see the fine details based on the grouping selected. Display Sum: will display a sum of the Total Payment column at the bottom of the report.

Report Grouping:

Report grouping controls how the report is grouped by. Example:

  • Daily: will group up the report on YYYY-MM-DD
  • Weekly: will group up the report on YYYY-MM
  • Yearly: will group up the report on YYYY

Seasonal Fiscal Year

The seasonal fiscal year allows you to pick a fiscal year from the dropdown. Based on the seasonal fiscal year selected the start and end dates will get populated automatically for you. Note: you will not be able to manually adjust these dates as they are strictly determined by your campgrounds seasonal dates.

Seasonal fiscal year consist of:

  • The end date of the previous seasonal years as the start date.
  • And the end date of the current seasonal year as the ending date.

Column Selection:

The column selection allows you to either display the Payment Type column or not. If the payment type column is selected then you will have the details of the payments broken down by the payment type.
